Who this policy covers

This policy applies to pianokaraoke.org, Piano Karaoke website accounts, the Premium Library beta, beta onboarding, issue reporting, Fast-track requests and Recording Lab. Patreon and Google remain separate services with their own privacy policies.

Account information

When you create an account, we use your email address, display name, verification status, password security records, login session information and access status. Passwords are handled by the website’s WordPress authentication system and are not stored in readable form.

If you use Google Sign-In, we receive basic identity information permitted by the openid, email and profile scopes. We store Google’s immutable account identifier so repeat sign-ins return to the same Piano Karaoke account. We do not use Google email matching to silently merge accounts and do not request Gmail, Drive, Calendar, Contacts or YouTube account control.

Patreon membership connection

If you choose to connect Patreon, we use Patreon’s immutable user and membership identifiers, the Piano Karaoke campaign relationship, membership status and entitled tier identifiers to decide whether the account qualifies for beta access. Piano Karaoke does not receive your Patreon password and does not use your Patreon email address to link accounts.

A short-lived member access token is used only to perform the membership check and is not retained after the response is processed. Creator credentials used for controlled administration are stored privately outside the public website.

Beta and support records

• Beta entitlement records show why and when access was granted, disabled or reviewed.
• Issue reports can include the page, song, selected key, beta version, browser/device description, access source and your written notes.
• Optional screenshots attached to an issue are stored privately and are available only to authorised internal users.
• Fast-track requests store your account ID, the song’s stable ID and the request time. They are prioritisation signals, not votes visible to other customers.
• Security and operational logs may record time, account ID, event type, safe error code and application version. We do not intentionally log OAuth tokens or passwords.

Recording Lab

Microphone and camera permission is requested by your browser only when you choose to prepare or make a recording. Saved takes and mix settings are stored in your browser’s local IndexedDB storage. They are not uploaded to Piano Karaoke by the Recording Lab. Backing tracks and lyrics are delivered through authenticated website routes, and exported recordings are created on your device.

Deleting browser data, changing device or using a private browsing session may remove locally stored takes.

Launch list and cookies

If you join the launch list, we use the email address, consent time, consent wording version and signup source to send agreed Piano Karaoke launch updates. Marketing consent is optional and can be withdrawn using the unsubscribe route provided in messages.

The website uses essential cookies and session data for login, security, OAuth state and account continuity. These are required for authenticated features and are not used to sell personal data.

Storage, processors and security

The current website is hosted by IONOS. Google provides optional identity sign-in, Patreon provides optional membership verification, Dropbox supports the existing member-library workflow, and Cloudflare R2 may be used for privately controlled song-asset staging or delivery where configured. We use only the services required for the feature concerned and do not sell personal data.

We apply server-side access controls, private storage, limited file types and sizes, rate limits, short-lived OAuth state and restricted internal permissions. No internet service can guarantee absolute security.

Retention and your choices

Account and entitlement records are kept while the account or beta relationship is active and for a reasonable period afterwards for security, support and audit purposes. Issue reports and evidence are retained while they are needed to investigate and document a resolution. Security logs are kept for a limited operational period. Local Recording Lab takes remain until you delete them or clear browser storage.

You can request access, correction or deletion of your Piano Karaoke account information through Piano Karaoke Support. Some records may need to be retained where reasonably required for security, dispute handling or legal obligations. Disconnecting Google or Patreon does not automatically delete the Piano Karaoke account.
